The Notre Dame Mission Volunteers National Office which supports the work of NDMV service teams around the world is hiring an Office Manager. In the US, NDMV’s flagship program, Notre Dame – AmeriCorps (NDA) facilitates the service of over 450 AmeriCorps members in 20 teams across the country. Notre Dame – International (NDI) relates to the work of our volunteers in Haiti, who serve alongside the Sisters of Notre Dame de Namur, founders of NDMV, to expand access to education worldwide.
The Office Manager supports the necessary functions of the NDMV headquarters and by extension all of the programming it facilitates. The Office Manager assists the Executive Director in facilitating internal communication within the organization, organizing meetings, managing office-wide systems, and handling logistics.
Major responsibilities:
- Assist the Executive Director with development and communication as needed
- Assist with preparing memos
- Assist with grant writing and reporting
- Manage donations and assist with donor relations
- Assist with the organization’s website
- Create, strengthen, and manage systems at the NDMV headquarters
- Oversee headquarters physical filing systems
- Maintain headquarters digital systems, with the possibility of overseeing upgrades
- Ensure the office has the resources it needs
- Oversee the organization’s calendar
- Coordinate with headquarters staff and program staff to share relevant dates and times
- Assist the Executive Director with planning the Director’s calendar and scheduling meetings
- Organize local and national training events
- Facilitate twice annual national site director meetings
- Assist with the coordination of annual Midyear training conference
- Oversee logistics for twice annual national board of directors meetings
- Oversee travel plans for meetings requiring travel
- Other duties as requested by the Executive Director
Things that should be in your background:
- 3+ years experience working in an environment that requires demonstrated ability to plan and attention to detail
- Bachelor’s Degree preferred
- Prior experience with a domestic or international service program (e.g. AmeriCorps, Peace Corps, etc.) preferred
- Strong ability to solve problems creatively
- Excellent interpersonal, verbal, and written communication skills
- Demonstrated enthusiasm for learning
- Demonstrated commitment to community service, education, and partnership
